Procedure for booking Clinical Room Guideline
It is vital that if a Consultant or nurse requires this service,
it must be booked at least 24/48 hours in advance in order to
ensure that rooms and nursing staff are available.
Should a Consultant book on the day the procedure is to be
undertaken, the Sister in Charge will endeavor to accommodate the
ad-hoc booking if all resources are available to ensure a safe and
efficient environment.
Specific to Insured Patients
It is the responsibility of the relevant Consultant’s secretary
or nurse to inform the patient to obtain pre authorisation from
their Insurance Company prior to attending the clinic for their
procedure. The patient must present their insurance details and pre
authorisation number on arrival for their treatment, without a
confirmed Pre-authorisation number the procedure can be cancelled
on the day.
Specific to Self Paying Patients
It is the responsibility of the relevant Consultant’s secretary
or nurse to inform the patient that they will be required to settle
the bill in total following the procedure.
Specific to Embassy Funded Patients
It is the responsibility of the relevant Consultant’s secretary
or nurse to inform the patient, that they are required to bring a
Letter of Guarantee for the specific procedure including the date
stating when it is to be carried out. Failure to bring this
may result in cancellation of the procedure. The patient is
required to bring a separate Letter of Guarantee for
consultations.
Booking Process
As soon as a Consultant or nurse requires this facility, their
secretary or ward co-ordinator is kindly asked to follow the
instructions set out below.
- Contact the Clinical Rooms Office to ensure availability of an
appointment convenient to both the patient and the Clinical
Rooms.
- Once availability is confirmed, the following information on
the booking form (See Attached) will be required. The booking form
is to be completed by the secretary, nurse or Consultant and can be
faxed or emailed to the Clinical Room’s Office.
- The Clinical Room staff where applicable will pre register the
patient with the details from the booking form, so it is VITAL that
all patient details are correct.
Patient Journey on day of the Procedure
- The patient will report to Main Reception 20 minutes before the
procedure time and will be directed to the Out-patient Centre where
they will be registered.
- The staff here will be responsible to inform the Clinical Room
staff via the bleep system that the patient has arrived. The
nurse will collect the patient and take them straight to the
Clinical Room where observations and a patient checklist will be
done.
- The procedure will then be carried out.
- Once the procedure is complete, post procedure care will be
given where applicable and then the nurse assisting/chaperoning
with the procedure will post the charges for that procedure on
Meditech.
- Self paying patients will be required to pay for the procedure
at the pay register down on ground floor before leaving.
- Pre authorisation for insured patients or a Letter of Guarantee
for Embassy patients will cover funding for Out-Patient
procedures.
